Help to Prioritise When It All Feels a Bit Much

Lots of my clients come to coaching feeling a bit overwhelmed and struggling to prioritise

I’ve developed a simple tool to help people focus on what is most important for them. It works well in group and individual coaching situations and can be done at home. I use it from time to time to reflect on where I’m spending my time and to get on top of things 

Find somewhere you can think, get some paper and pens and have a go 

1. Imagine what success looks like at a set time in the future – what have you achieved, what difference has it made, what results are you seeing?

2. Consider your top priorities – what are the most important things that YOU must work on to deliver this success? What are the umbrella headings for these things? Plot these onto a  priority quadrant table under the headings People, Customers, Processes, Finance

3.Use a priority matrix table to consider which of these are priorities you will focus on. Consider impact and ease. 

Easy, high impact tasks - low hanging fruit that are worth making happen quickly, 

Easy. Low impact tasks - can  they be left? Could they be delegated? 

Hard, low impact tasks - why are you focusing on these? If they have to be done, who else could do them, how can they be simplified so they don’t eat up your time? 

Hard, high impact tasks - your strategic priorities. Identify the most important based on profile and risk 

4. Identify no more than 7 key priorities. Put these into a Priority Wheel. Label one of the segments “none of these”.  If you can , prioritise the segments How will you deal with the other things that don’t go into your priority wheel?

5.  Think about whether you are spending the appropriate amount of time necessary on each priority to achieve success. Plot the time you are spending in each segment ; 10= spending the appropriate amount of time, 1 = spending 10% of the appropriate amount of time. What about the time you spend on “none of these” – how appropriate is that, how much of your available time do you spend in this quadrant?

5. What does the wheel of priorities and time show you? What options do you have to adjust how you use your time? What will you do? When?

Having trained with Barefoot Coaching Ltd, I am a Professional Certified Coach with the International Coaching Federation, hold a postgraduate certificate in coaching from the University of Chester, have done specialist training in Team Coaching and am a qualified NLP Practitioner. Sustainability is very important to me, so my work is designed and delivered in ways that give clients tools and approaches to use to maintain and build on their successes after their work with me is completed.
